A step-by-step explanation of how to invite users into a facilitation.
Facilitations are a workflow that provides a flexible way to engage users through a facilitated learning process. A facilitator invites end users into a facilitation by sharing a code with them to join or manually adding them to the facilitation.
Once the facilitation has been published, end-users can be invited into the facilitation directly via an email or using the invite code as explained below.
Invitation by code
The email template required for the invite code functionality to work efficiently needs to be configured on the admin portal. Go to App settings, and under the Email tab, scroll down to Facilitation Access Request to fill in the sender and support email addresses in the fields provided, and click on the Save button at the top right corner of the screen.
Invite code for Open Access Facilitation
On the Admin portal, go to the Facilitation menu and search for the desired open access facilitation. You will see the Generate Invite code button in the selected Open access facilitation (This is displayed on the facilitation for the first time) then click on it to generate the invite code.
A generated code will appear which you can copy and share with attendees to invite them into the facilitation.
You can also access the code under the Attendees tab when you edit the facilitation.
The code when copied will be displayed like the sample below.

End user flow for Open Access Facilitation
To Join the facilitation via code on the app, the end user should on the channel icon at the top right corner of the screen.
On the channel screen, scroll down to the bottom of the page and click on the Join channel button.
Next, enter a valid 9-digit code (this will be shared with the end user by the facilitator) to join the channel/facilitation. After successfully joining the facilitation, the end user is redirected to the Engagement list page inside the joined facilitation.
Please note that the end user can also join the channel from the home screen if this has been enabled by the app admin. On the home screen, click on the Join channel button.
Next, scroll down to the bottom of the page on the channel screen, and click on the Join channel button.
Enter a valid 9-digit code (this will be shared with the end user by the facilitator) to join the channel/facilitation. After successfully joining the facilitation, the end user is redirected to the Engagement list page inside the joined facilitation.
Invite code for Restricted Access Facilitation
For a Restricted Access Facilitation, click on the edit icon to edit the facilitation.
Under the Attendees tab, click on the Share access code drop down to display the invite code.
The invite code will be displayed after clicking on the Share access code drop down, then click on the copy icon to copy the invite code.

To Join the facilitation via code on the app, the end user should on the chat icon at the top right corner of the screen.
On the channel screen, scroll down to the bottom of the page and click on the Join channel button.
Next, enter a valid 9-digit code (this will be shared with the end user by the facilitator) to join the channel/facilitation. After successfully joining the facilitation, the end user is redirected to the Engagement list page inside the joined facilitation.

Next, the end user will be redirected to the Request access screen to send a request to the app administrator to be manually added to the channel.
When the end user is manually added to the facilitation by the app admin, the end user will be able to join the facilitation successfully and would be redirected to the Engagement list page inside the joined facilitation.
Points to note
For App Level open Facilitation
- The end user will be able to join the facilitation directly by entering a valid 9-digit code.
For Account Level open Facilitation
- If the end user is an account member, the end user will be able to join the facilitation directly by entering a valid 9-digit code.
- If the end user is not an account member, the end user will be taken to the request access screen after entering a valid 9-digit code and would have to send a request to the admin to add them into the Facilitation manually.
App Level Restricted Facilitation
- The end user will be taken to the Request access screen after entering a valid 9-digit code and will have to send a request to the admin to add them into the Facilitation manually.
Account Level Restricted Facilitation
- The end user will be taken to the Request access screen after entering a valid 9-digit code and will have to send a request to the admin to add them into the Facilitation manually.
